1. Mandatory Tasks

Mandatory tasks are based on requirements from government regulations and chain management. Mandatory tasks are linked to units/sites for which the requirements are required and relevant.

Mandatory tasks have characteristics such as:

    • frequency can be set according to the chains requirements.
    • answers are final once registered, e.g. can't be changed.
    • are independent of each other, e.g. can be completed, allocated and configured independently.
 
  • deviations are registered with text and/or pictures, and assigned to the person operationally responsible for closing the deviation.
  • they are included in reports to chain management, experts, and unit managers
  • are documented for potential government/legal audits.
  • are linked to a location (or sub location) and not to a person, e.g. it doesn't matter who completes the task as long as it's done.

The system provides easy digital access and updates to all the tasks, routines and instructions needed for chain operations. E.g. no more paper and binders
The mandatory tasks are ideal for compliance tasks in areas such as Food Safety, Fire Safety, Brand guidelines and Environmental guidelines.

2. Audit Tasks

Audit task are forms or lists that are not tied to specific location. They can be used on need-based checks or audits with any content at any time.

Audit tasks have characteristics such as:

  • used when needed, e.g. the user decides when to start /stop
  • can be revised multiple times until the user decides to finalize the whole audit/check
  • are based on predefined forms/lists, individual tasks cannot be removed or reordered
  • deviations are registered with text and/or pictures and assigned to the person operationally responsible for closing the deviation

3. Push Tasks

Push tasks enable Chain-Management to define and document a task at any time or place and assign the task to any person. Task management on the go.

Mandatory Taks - Action Flows
Action Flows are predefined actions that are linked to negative answers. Each negative answer can have an arbitrary number of Action Flows. Action Flows that points to other Action Flows generates in Open Deviations when selected in the user interface.These can be held open until the task has been fixed.

Mandatory Tasks - Open Deviations
Open Deviations are tasks created from Action Flows whenever something is not as it should be. Open Deviations are accessed from the to-do page. They are highlighted with red colour to distinguish from regular tasks and there is no time limit for how long these can be held open.

Mandatory Tasks - Comments
It is possible to add a comment to all tasks through the comment box below the tasks. The comment is saved in Reporting and can be viewed by all users.

Mandatory Tasks - Attach photos
It is possible to attach images and photos to all tasks from both smartphones and tablets. When tasks are answered from portable devices like phones and tablets it is easy to take a photo as proof that a task has been completed or to document any deviations. These will afterwards be documented in Reporting or as an Open deviation.

Mandatory Tasks - Filters
There are several filters on the to-do page to provide users with an easy overview. Tasks on the to-do page can be filtrered by module or by task-status. Available status filters are Today, Upcoming, Open deviations, All, Done today and Overdue. Users can also choose between the filters My areas and All areas. A user that logs on to the to-do page will automatically be assigned to the filters My areas and My modules and view his/her modules and areas.

Mandatory Tasks - Editing
You can edit name and due date for all mandatory tasks. For local tasks it is also possible to edit answer options and frequency.

You can attach documents and images to tasks from both tablet, smartphone and computer. These are saved under "Documents" and are always accessible from the task information.

Mandatory tasks - Frequency
Tasks can be set to different frequencies depending on how often they need to be answered. The frequency can be set to daily, several times a week, weekly, monthly, quarterly, semi-annually, annually or as a one-time task with or without due date. For mandatory tasks the frequency is locked, but locations can edit which days, date or month the tasks should be answered by to fit their schedules.

Mandatory Tasks - Allow answer after due date
Tasks for which the option "Allow answer after due date" is selected appears below the filter Overdue after due date is expired and can be answered here for a selected time. They are still registered as overdues in reporting when due date is expired.

Mandatory Tasks - Areas
Tasks can be grouped in areas. Users can then be assigned to different areas to make sure the users only see the tasks they need. Areas can have any name and up to two levels of subareas.

Mandatory Tasks - Procedures
Procedures are a separate entity used for longer descriptions than regular task descriptions. It can be general guidelines, best practices; anything that define "how things should be". Procedures can be linked to any number of tasks and processes to make sure they are easily accessed for Health controls, Checks and Audits etc.
Madatory Tasks - History
On the History page all completed tasks are documented with information about how the task was answered, which user completed the task, time and date and comments. Any time a task is registered by the system as overdue this can also be seen on the History page. History provides an overview over tasks answered per week and can be filtered by module.
Mandatory Tasks - Change log
The Change log provides an overview to when and by who a specific task has been edited, and when and by who is was created.
Mandatory Tasks - Print page
On several pages the function "Print page" helps users to use GetCompliant for paper administration and documentation.
Mandatory Tasks - View last answer
"View last answer" is a setting at task level. If "View last answer" is enabled, the option "Select last answer" is available and the user can check this box if the answer should be the same as last time the task was completed.
Checks and Audits - Checks and Audits
Checks and Audits are tasks that should be held together, similar to a paper form. Checks and Audits are accessed from the Checks and Audits page. Each task in Checks and Audits can be answered individually. Checks and Audits can be Open or Closed, and as long as they are Open the answer to the tasks can be changed.
Checks and Audits - Open vs. Closed
Forms in Checks and Audits can be opened or closed. As long as they are open the answers to the tasks can be changed.
Checks and Audits - Pause Form
A form can be held opened by pressing "Save" without setting the form to done. Users can then return to the form at any time to complete the tasks.
Checks and Audits - Change Form
Any open form in Checks and Audits can always be resumed at any time after being started. Until a form is closed, editing and reviewing tasks is always possible.
Push Tasks - Push Tasks
A Central User can publish any number of Push Tasks, tasks that are published as one-time tasks and sent out to all locations at the same time. The push task will immidiatley be published at all locations and can be chosen to have a due date or no due date.
Push Tasks - Email notifications
When a push task is published the affected users can choose to get a notification through email.
Push Tasks - Phone notifications
When a push task is published the affected users can choose to get a notification on phone.
Reporting - Status of Mandatory tasks- Today
Provides the status (in percentage) of all mandatory tasks that have/should be completed during the day. Can be filtered per module and is displayed both in total and by area.
Reporting - Status of Mandatory tasks- Historical
Provides the status (in percentage) of all mandatory tasks that have/should be completed during a selected period of time. Can be filtered to show status for a week back, a month back, a quarter back and a year back. Can be filtered by module and is visible both in total and per area.
Reporting - Status Checks and Audits
The status page for Checks and Audits provides the status of completed and ongoing Checks and Audits. It displays an overview of the task data, credits, location, status, date, etc.
Reporting - History of mandatory tasks
After due date is expired all tasks are reported on the History page, both completed tasks and overdue-tasks. The page displays information about which time the task was completed, which user completed it and added comments. The data is sorted by week and always remains in the history. The Hisotry page can only be viewed per location, if History of several locations is needed an export to Excel can manage this.
Reporting - History of mandatory tasks - Due date/ Registration date
Tasks in History can be filtered by due date or registration date. Due date can be chosen to show that a certain task is performed with a specific frequency.
Reporting - History of Mandatory tasks - Search function
Specific tasks or areas on the History page can be found through the Search function, just type in what you are looking for in the search field.
Reporting - History of mandatory tasks - Ongoing
Provides an overview of ongoing one-time tasks with or without a due date and the percentage of those answered.
Reporting - History of Mandatory tasks - Export to xls, csv
To be able to communicate results, save them for reporting outside the system or print on paper, exports to Excel and CSV are easily accessible for all reporting sites.
Reporting - Unit levels
Local users can view reports for their location, while central users can choose to view reporting for the entire chain, groups within the chain or at location level.Depending on the settings for the central user, everything from being able to view a few locations up to the whole chain is selectable.
Reporting - Email reports and reminders
Users can receive email reports with results once a week or every day, as well as email reports with what there is to do in the system during the day. Local users recieve reports for the areas and modules they have connected to them on their location, while central users recieve reports for all the locations they have attached to their account.
Administration - My account
In My account, name, email, username, password, and phone reminders can be managed for all users. Administrators can also manage rights, areas and modules under My Account.
Administration - Forgot password
If the account is provided with an email address, the automatic "Forgot Password" feature can be employed. It is accessed from the login pages on the web and on mobile phones. The specified email adress will receive an "enter new password" email if it is tied to a user within the service.
Administration - Mandatory tasks- Local
Local tasks are visible only for the location they are edited in and changes are made only for this location. Tasks can be linked to several areas and several routines. They can also be linked to a specific user within the location.
Administration - Mandatory tasks- Central
Central tasks are published in all locations within the chain and any changes in these affects the entire chain. Locations can edit completion days and dates and change the name of the task, but frequency and answer options are locked for editing.

Checks and Audits can be created, edited or removed
Administration - Users - Local
Local users can have different rights, as administation or usage, but view only the tasks and administration sites on the location they are connected to.
Administration - Users - Central
Central users can have anywhere from 2 to an unlimited number of locations, depending on their settings. Central users can have different access to different pages, for example Usage, Administration or Reporting.
Administration - Areas - Local
Local Areas are areas specific for one location. Any change in the area is only affecting the location.
Administration - Areas - Central
Central Areas are areas common to the whole chain. Any change in a Central Area affect all locations.
Administration - Procedures - Local

All locations in the chain can be found here, as well as the Central users connected to them. Locations can be added or removed from this site.
Administration - Location groups
All the unit groups of the chain can be found here, as well as locations connected to them on a sublevel.
Administration - Users, Local and Central - Rights
There are different levels of rights - Regional Manager, User and Central Administrator. Users have access to the to-do page, status and history, while regional managers and Central Administrators also has access to Administration.
Administration - Mandatory tasks- Library
Mandatory tasks are always available in the Library to be fetched and published on a location when desired.
Administration - New Tasks
It is possible to create entirely new tasks, both local and central. For these names, answer options, frequency and areas are chosen entirely from scratch.
